PEDIGREE CHARTS, SURNAME CARDS AND LOCALITY INFORMATION

Send pedigree charts, surname cards, locality cards, and update cards to: Topeka Genealogical Society, PO Box 4048, Topeka, KS 66604-0048 or deliver to TGS library (during library hours only), at 2717 Indiana, Topeka, KS.

PEDIGREE CHARTS (available from TGS) and SURNAME CARDS (as illustrated below) are requested from all members. They will be used for exchange of information in two ways:
1.) The pedigree chart(s) will be filed by Member Number in the TGS Library.
2.) The cards containing information from the pedigree charts will be filed in special surname and locality files as an index to the pedigree charts. These may be used by members to locate others working on same surnames or in the same locations. The locality cards will also be used by the Librarian and Periodical Chairman as a guide in acquiring new books and periodicals which will be of help to all members.

NEW MEMBERS should submit pedigree charts as soon as possible, with a surname card for each surname recorded on the charts, and a locality card referencing the locality of vital events as given on the pedigree chart(s), using the following guidelines:
1. PEDIGREE CHARTS: Use vertical style pedigree charts, 8 1/2 x 11 size. Include your
Membership Number in upper right corner of the chart. This is the number on your membership card and TGS mailing labels. It is the first letter of your surname, followed by numbers. Example: F-156. Submit 1 copy of each chart.
2. Print or type information, making it as legible as possible. Write all SURNAMES IN CAPITAL LETTERS.
3. DATES are written thus: 12 Aug 1982. Include date, county and state (or country) of
each birth, marriage, and death, if you currently have that information.
(This means WHEN and WHERE).
4. SURNAME/INDEX CARDS: All cards must be 3 x 5. Include Membership Number in the place shown on the samples. Using your pedigree chart, place those with like surnames on the same surname/index card, continuing until the card is filled (see sample below). Continue on another card if needed. Use a separate card for each different surname.

LOCALITY CARDS: List on these cards all geographical locations in which you are presently doing research, by county, state and time period as shown below. Include name on lower left corner and Membership Number on lower right corner as in the example.

UPDATING PEDIGREE CHARTS
(previously submitted) - DO NOT send a new pedigree chart. When you find a new ancestor, or more information on an ancestor already on the card, prepare a 3 x 5 index card as shown below:

1. Type or print one card for the ancestor and cross index for his/her spouse.
2. Enclose unproven date in parenthesis with a question mark (?)
3. Print "data to be added" on upper left corner of the card.
4. Include your Membership Number in upper right corner of the card.
5. Include your name, current address, area code and telephone number in lower left corner.
6. Use back of card for additional data, such as sources, other spouses, etc.
7. Write "date updated" and current date in lower right corner of card.
8. Use same format to send information on collateral lines you are searching (which may not be on your pedigree chart).
9. Send to same address as above, or leave with librarian on duty at TGS library
10. PLEASE, DO NOT REMOVE CHARTS OR CARDS from library or make changes on them. DO NOT FILE YOUR CARDS; the Charts Chairperson needs to process them before filing them.
